On-Premise Helpdesk Software in 2026: Self-Hosted Options Compared

Most helpdesk software is sold as a cloud subscription. For many IT teams in the Gulf that is fine. For some it is not: the tickets hold personal data that has to stay in the country, the network has no route to the internet, or the per-seat bill grows faster than the team. This guide compares the helpdesks you can still run on your own servers in 2026, with each fact checked at the vendor's own site or documentation on 11 October 2026.

What is the best on-premise helpdesk software in 2026?

There is no single best. Zammad, osTicket, FreeScout and GLPI are open source and run on your own servers. Jira Service Management Data Center is still available to existing Atlassian customers but reaches end of life on 28 March 2029. FanDesk is self-hostable with Docker. Zendesk and Freshdesk are cloud-only.

Why teams still self-host a helpdesk

A helpdesk collects names, phone numbers, emails, screenshots and sometimes ID documents. In the UAE that data falls under the Personal Data Protection Law, Federal Decree-Law No. 45 of 2021. In Saudi Arabia it falls under the PDPL. Both put conditions on moving personal data out of the country. A server in your own data center answers the question of where the data lives in one line. We covered the legal detail in helpdesk data residency under UAE and Saudi PDPL.

The second reason is closed networks. Government entities, banks, utilities and plants often run internal networks with no outbound internet. A cloud helpdesk is not an option there. The third reason is cost. Cloud helpdesks charge per agent per month, so a team of 80 agents pays 80 times. A self-hosted install moves that cost to hardware and staff time, which is cheaper for some teams and more expensive for others.

Zendesk and Freshdesk are not in the table because both are cloud-only. If you are weighing them against a self-hosted product, our FanDesk vs Zendesk vs Freshdesk comparison goes into the differences.

Notes on each option

Zammad is the most complete open-source helpdesk in the list. It has a multi-language knowledge base and SLAs that count only the opening hours in a calendar, with holidays you can import from an iCalendar feed. The licence is AGPLv3. On 21 September 2026 an attacker used two Zammad flaws to get from the public helpdesk of the Dutch Institute for Vulnerability Disclosure (DIVD) to root on the server. Zammad has since shipped fixes, the last one in 7.2.2 on 8 October. We wrote up what is known in the Zammad zero-days and the DIVD breach. The lesson applies to every product here: a self-hosted helpdesk is your job to patch.

osTicket is the oldest and simplest. It has SLA plans, a knowledgebase and a translatable interface. It suits small IT teams that want email tickets and little else.

FreeScout is a light shared inbox. The core is free under AGPL-3.0, and the knowledge base is a paid module. Teams that need a full help center should price the modules they will add.

GLPI is closer to a full IT service management suite. It handles assets and inventory as well as tickets, SLAs and a knowledge base. That breadth is useful for an internal IT department and too much for a customer support desk.

Jira Service Management Data Center is the self-hosted Atlassian option, but Atlassian is retiring Data Center. New customers could not buy it after 30 March 2026, and the product reaches end of life on 28 March 2029. A new deployment today would need a second migration within three years.

FanDesk is our product, so read this with that in mind. It runs as a cloud subscription or as a self-hosted Docker install on your own servers, with no per-seat fee when self-hosted. The SLA engine counts business hours with a holiday calendar and shifts, and escalates before a breach. Notifications go out by email, Telegram, SMS and in-app. It has branch and department permissions, an activity log, and Arabic and English with native RTL. Self-hosted installs can push a standby copy offsite. Where others are better: FanDesk has no app marketplace, so if you depend on hundreds of ready integrations, a larger platform will serve you better.

How to choose helpdesk software you will host yourself

  1. Write down where the data must live. If the answer is "in the country" or "on our network", cloud-only products drop out before any demo.
  2. Check the product's future. Look at release history and announced end-of-life dates. A product with a fixed end date is a migration you are scheduling now.
  3. Test Arabic with real tickets. Open a ticket in Arabic, reply from email, and search the knowledge base in Arabic. Mixed Arabic and English text is where weak RTL support shows.
  4. Model your SLA rules before you buy. Weekends, public holidays and shift patterns differ across the Gulf. Make sure the SLA clock can follow your calendar.
  5. Count agents honestly. Our helpdesk staffing calculator estimates how many agents your ticket volume needs, which tells you what per-seat pricing would cost.
  6. Plan patching and backups. Decide who applies security updates, how fast, and where the backup copy lives. Self-hosting moves this work to your team.
  7. Price the extras. Paid modules, support contracts and integration work often cost more than the licence.

Frequently asked questions

Is there a free self-hosted helpdesk?

Yes. Zammad, osTicket, FreeScout and GLPI are open source, and you can run each one on your own server without a licence fee. You still pay for the server, the time to install and patch it, and any paid add-ons. FreeScout, for example, sells its knowledge base as a paid module.

Do Zendesk and Freshdesk offer an on-premise version?

No. Zendesk and Freshdesk are cloud-only services, and neither sells a version you install on your own servers. If your data must stay inside your own data center or on a closed network, you need a product that supports self-hosting, such as one of the options compared in this article.

When does Jira Service Management Data Center reach end of life?

Atlassian lists 28 March 2029 as the end of life for its Data Center products, including Jira Service Management Data Center. Sales to new customers ended on 30 March 2026. Existing customers can buy new licences, expansions and apps until 30 March 2028, according to Atlassian's own end-of-life page.

Does a self-hosted helpdesk help with UAE PDPL compliance?

It helps with one part. Keeping the server in the UAE answers where personal data is stored, which matters under Federal Decree-Law No. 45 of 2021. You still need access controls, retention rules, breach response and a lawful basis for processing. Hosting location alone does not make a helpdesk compliant.

Which self-hosted helpdesk has a built-in knowledge base?

Zammad, osTicket and GLPI include a knowledge base in the core product, and Zammad's supports several languages. FreeScout offers one as a paid module. FanDesk includes a knowledge base with categories, full-text search and a vote on whether each article was helpful, in Arabic and English.
