Zoho Mail Pricing 2026: Every Plan, What It Leaves Out, and What You Really Pay

Zoho Mail is one of the cheapest serious business email services you can buy, and its pricing page is also one of the easiest to misread. There is a free plan with conditions, two sizes of the cheapest paid plan, an annual-only rule, and a second set of "Workplace" plans that bundle office apps. This guide lays out every plan with the numbers Zoho publishes, what each one leaves out, and what a team of 10, 50 or 300 people actually pays. Prices are the US list prices in Zoho's own pricing page data, checked on 11 October 2026.

How much does Zoho Mail cost?

Zoho Mail costs from $1 per user per month for Mail Lite with 5 GB of storage, $1.25 for Mail Lite with 10 GB, and $4 for Mail Premium, all billed annually. The bundles with office apps cost $3 per user per month for Workplace Standard and $6 for Workplace Professional. A free plan covers up to 5 users on one domain.

What a team actually pays per year

Multiply the monthly price by 12 and by the number of users. The free plan is left out because it stops at 5 users.

UsersMail Lite 5 GBMail Lite 10 GBWorkplace StandardMail PremiumWorkplace Professional
10$120$150$360$480$720
50$600$750$1,800$2,400$3,600
300$3,600$4,500$10,800$14,400$21,600

For comparison, Google Workspace listed Business Starter at $7 and Business Standard at $14 per user per month on an annual commitment when we checked US prices on 29 September 2026, which puts 50 users at $4,200 to $8,400 a year. We compared the two, and self-hosting, in FanMail vs Google Workspace vs Zoho Mail.

Is Zoho Mail free?

Yes, for up to 5 users on a single domain, with 5 GB of storage each. The limits matter more than the price. The free plan does not include IMAP, POP or ActiveSync, so Outlook, Thunderbird and a phone's built-in mail app cannot connect; you use Zoho's web and mobile apps instead. Zoho also says it is available only in some data centers. And the pricing page is explicit that from the 6th user, all users move to a paid plan, not just the extra one.

Mail Lite or Mail Premium?

Mail Lite covers what most small teams need: custom-domain email, calendar and contacts. The 10 GB version costs a quarter more per user than the 5 GB one, and a mailbox with years of attachments fills 5 GB faster than people expect. Mail Premium is four times the price of the cheapest Lite plan, and the jump buys three things: 50 GB of storage, a separate 50 GB of retention storage, and the retention and eDiscovery tools a legal or compliance team needs to keep and search mail it is required to hold. If nobody has asked you to retain email for a fixed period, Lite is usually enough.

When the Workplace bundle is the better deal

Workplace Standard at $3 costs less than Mail Premium at $4, and it adds 30 GB of mail storage, 100 GB of shared files and Zoho's document, spreadsheet, presentation, meeting and chat apps. If you are paying separately for file sharing or video calls, it can replace them. Zoho also lets one organization mix Mail-only and Workplace plans, so only the people who need the office apps get them.

Annual billing and regional prices

Mail Lite shows "No monthly plan" on the pricing page: you commit for a year. Zoho's FAQ describes annual billing as roughly 20% cheaper than monthly where monthly billing exists. Prices are also regional. Zoho runs data centers in the US, Europe, India, Australia, Japan, Saudi Arabia, the UAE and other countries, and an account is created in the data center for the country it signs up from, so a team in Dubai will usually see its local page and its local data center.

When Zoho Mail is not the answer

Zoho is hosted email. That is the right choice for most teams under a few hundred people with no rule about where mail is stored. It stops being the right choice when mail has to stay on your own servers, when internal mail must keep working on a closed network, or when per-seat pricing adds up across thousands of mailboxes. That is the case FanMail was built for. Our email cost calculator compares per-seat and self-hosted costs for your own user count, and our self-hosted email cost case study shows the numbers from a 10,000-mailbox move.

Frequently asked questions

How much does Zoho Mail cost per year?

Per user, Mail Lite costs $12 a year with 5 GB or $15 with 10 GB, Mail Premium $48, Workplace Standard $36 and Workplace Professional $72, at US list prices billed annually. For 50 users that is $600 a year on the cheapest Lite plan and $2,400 on Mail Premium. Regional prices may differ.

Does Zoho Mail have a monthly plan?

Mail Lite does not: the pricing page shows it as billed annually with no monthly plan. Zoho's FAQ describes annual billing as about 20% cheaper than monthly where a monthly option exists. Check your regional pricing page before you buy, because Zoho says annual discounts vary by region.

Can I use Outlook with the free Zoho Mail plan?

No. The Forever Free plan does not include IMAP, POP or ActiveSync, so desktop clients such as Outlook and Thunderbird, and a phone's built-in mail app, cannot connect to it. Free users read mail in Zoho's web and mobile apps. Paid plans are needed for access through standard mail protocols.

What happens when a free Zoho Mail account adds a 6th user?

According to Zoho's pricing page, from the 6th user all users enter a paid plan, not only the new one. A team of six on Mail Lite 5 GB would pay $72 a year at US list prices. Plan the move before you add the sixth mailbox so billing and storage limits don't surprise you.

Is Zoho Mail cheaper than Google Workspace?

Yes, at list price. Zoho Mail Lite starts at $1 per user per month and Mail Premium costs $4, while Google Workspace listed Business Starter at $7 and Business Standard at $14 on an annual commitment when we checked US prices on 29 September 2026. Google includes more storage and its own office apps at those prices.
